Utilities & Energy

Meter-to-cash runs across more systems, more exceptions and more regulatory constraints than almost any other process, and most of it is documented somewhere nobody can search.

The hard case, and the useful one

Utilities write a great deal down. Turning a meter read into cash touches metering, customer records, billing, credit, field work and reporting, usually across systems bought a decade apart. Get meter-to-cash written down properly and the rest of the business is easier.

| Why it breaks documentation efforts | | |---|---| | Spans many systems | No single system holds the whole thing | | The exceptions are the work | Estimated reads, faulty meters, mid-cycle tariff changes, moves, disputes, rebills over threshold | | It is regulated | Much of the process exists because a rule says so, and the rule sits in a document | | It changes constantly | Tariffs, meters and reporting duties all move | | The knowledge is held by few | Often the people closest to retiring |

What tends to be true when you look

| Pattern | What it means | |---|---| | The map is real, but old | Right at go-live, drifted ever since, and nobody can say which parts | | Exceptions are documented at the wrong level | That the path exists is written down; the judgment is not | | Controls exist, proof is scattered | Someone knows the threshold; finding the document that states it is a research project | | Screenshots are the real documentation | Marked-up training screens, in a folder nobody links to |

Take one rebill above the approval threshold. Answering whether it can be approved, and who signs it, needs six things at once.

| Layer | What it needs | |---|---| | Process | The exception path, not the standard billing path | | Object | The billing document, not the account | | Role | The step's approver, not the person who raised it | | Policy | The threshold, and where it is written | | System | The transaction, the screen, the field | | Evidence | The page of the document that states it |

All six exist in your files today. The work is joining them to the step they belong to.

New workspaces start from a Utilities & Energy map rather than a blank page, and you edit it to match how your business is really organised. Most teams change it within the first hour.
